Understanding Your Content Pipeline

Statuses are how you track where each piece of content stands in your creation process. Think of them as checkpoints that show progress from initial idea to published content. Every idea can move through multiple statuses, and you can see the full history of changes.

Your Default Status Configuration

ContentCompass automatically creates four essential statuses for new users:

  • Draft (gray) - for initial ideas and rough drafts
  • In Progress (blue) - for content actively being worked on
  • Scheduled (amber) - for content ready and scheduled for publication
  • Published (green) - for live, published content

These colors help you quickly identify content status at a glance across your dashboard and calendar.

Customizing Your Workflow

Your workflow might be different! You can customize statuses by going to the calendar view and clicking “Manage Statuses.” Here you can:

  • Create new statuses with custom names and colors
  • Edit existing status names and colors
  • Create multiple status configurations for different content types

For example, you might have one configuration for blog posts and another for social media content.

Using Statuses on the Calendar

The calendar is where statuses really shine. You can:

  • Schedule the same idea with different statuses on different dates (e.g., “Draft due March 1, Review March 5, Published March 10”)
  • Drag and drop scheduled items between dates
  • Mark items as “delivered” when completed
  • See which items are running late (highlighted in red)

When a status item is placed onto the calendar, this should be the deadline for the requirements to be satisfied for that status. For example, if you put a status of Draft for a blog post onto July 17th, you are indicating that the deadline for the draft to be delivered is July 17th. Once the current date moves past that date, the calendar will reflect that the Draft status item is late.

Whenever the requirements for delivery of a status are complete, mark that status as delivered. When done consistently, this will, over time, help you to see if there are patterns to your or your team’s work and potential bottlenecks that might exist.

Each status maintains its color coding, so your calendar becomes a visual representation of your content pipeline.

Team Status Collaboration

When working with teams, you’ll see both your personal statuses and team statuses:

  • Personal statuses - Your individual workflow
  • Team statuses - Shared workflow configurations marked with a “Team” badge

Team statuses allow for collaborative workflows. For example, a team might have statuses like “Needs Review” or “Client Approval” that individuals wouldn’t need. When you assign an idea to a team, it automatically uses that team’s status configuration.

Status History and Tracking

ContentCompass automatically tracks every status change, including:

  • Who made the change and when it happened
  • Scheduled vs. actual delivery dates
  • Notes added during status changes
  • Complete audit trail for each piece of content

This creates a complete history for each piece of content, helping you identify bottlenecks and improve your process over time.

Pro Tip: Regularly review your status distribution on the dashboard. If you consistently have many ideas stuck in one status (like “Draft”), that’s a signal to focus your efforts on moving content through your pipeline rather than generating new ideas.
